Media In Neighborhoods Group (MING Media) is a film company that explores and brings awareness to the cultures, challenges and environments in underserved sections of society, and advocates for solutions. Through the art of storytelling, MING Media directs and produces documentary video content for government agencies, non-profits, and brands.

Job brief

MING Media is seeking an Office Manager for the maintenance, organization and coordination of office procedures. Whose role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. Attention to detail and adhering to processes is essential for this position.

Office manager responsibilities include scheduling meetings and appointments, greeting + hosting studio visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

Skills required:

-Comfortable creating and updating spreadsheets and databases

-Experience w/ Quickbooks, Xero or other financial software

-Comfortable and competent with Google suite

-Experience with Social media

-Familiarity with creative processes, filmmaking, community engagement is a plus

– Strong writing and editing abilities (copywriting + ability to communicate ideas clearly and succinctly)

– Highly organized

– High energy + self starter

– Great communication skills

– Able to receive and give constructive criticism

– Resourceful + problem solver

-Able to function independently when necessary

Responsibilities

Serve as the point person for office manager duties including:
Ensure accurate and timely reporting
Mailing, Supplies, Equipment, Bills, Errands, Shopping
Strict maintenance of company calendar i.e. Schedule meetings and appointments
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs
Organize office operations and procedures
Ensure that all bills, and invoices are processed on time
Manage contracts, deadlines, and deliverables for vendors, service providers, and clients
Manage office G&A budget, ensure accurate and timely reporting
Provide general support to visitors
Social media management
Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Liaise with facility management vendors, including cleaning, catering and security services
Plan in-house or off-site activities, like screenings and conferences
Manage interns (point person, and recruit)
Handle online sales and customer support (on occasion)

AVAILABILITY:

Part time 3-4 days/week with the potential to become full time.
